For fleet teams

Create an SOP or workflow once. Give your team interactive training they can practice anytime.

Turn your fleet’s software workflows and SOPs into interactive walkthroughs staff can practice and revisit. Capture the task, add your instructions, and share a link with your team. Reuse the same guide for onboarding, refresher training, and everyday questions. Update it when your process changes.

7 days free. Request a trial and we email you a license key. Plans from $149 a month. You create walkthroughs on a Windows computer; your staff open them in a web browser, with no account or license.

“We went from having no SOPs and spending weeks explaining the same processes to building a library our team can refer back to. Our experts still support new staff, but they have more time to manage the fleet.”

Your fleet’s software tasks, organized in one place

Imagine sending your next hire a page like this. Each task has an interactive walkthrough they can practice and revisit, using the workflows and instructions your team follows.

Fleet coordinator onboarding: starter SOP

Work through these examples to learn three common Fleetio tasks. Each walkthrough uses sample data, so you can practice without changing live fleet records. No Fleetio account is needed.

  1. 1

    Add a vehicle to Fleetio

Create a vehicle record, decode the VIN, add registration details, and assign a driver.

    25 steps · Approximately 4 minutes
    Practice adding a vehicle
  2. 2

Mark a vehicle as In Shop

Update the vehicle’s status and confirm the change on the fleet list.

    10 steps · Approximately 2 minutes
    Practice changing vehicle status
  3. 3

    Create a work order

Choose the vehicle, enter repair details, select the shop, and link the reported issue.

    22 steps · Approximately 3 minutes
    Practice creating a work order

Times are for clicking through each example, not for doing the task in a live account.

Build your own version for each role, location, or shift. Capture your team’s workflows, then organize the links on an intranet, SharePoint site, or LMS page.

Why the same questions keep coming back

In many fleet teams the procedure lives in one experienced person’s head, or in a binder, PowerPoint deck or training video that no longer matches the screens. New staff learn by shadowing, and the few people who know the system answer the same questions again and again. A document or recording helps, but staff have to find the right instruction when they need it, and they can’t rehearse the clicks in it.

!“I forgot how to add a vehicle.”

They learned it once during onboarding. Now they either interrupt the one person who knows the system, or they guess and the record goes in without a driver or with a detail wrong. With a walkthrough link, they replay the task step by step while you and your team stay focused on the fleet.

!“Do I change the status when a truck goes in the shop?”

If nobody’s around to ask, the status doesn’t get changed. The truck still shows Active, a dispatcher assigns it, and a driver shows up for a truck that’s on a lift. Record the status change once as an interactive walkthrough, and anyone can follow it on their own while you and your team keep the fleet running.

!“How do I create a work order again?”

They’ve done it before, just not often enough to remember every screen. It happens. Instead of interrupting a manager or saving a work order with no odometer reading and no linked issue, they open the interactive walkthrough your team recorded once and practice the exact workflow. When the process changes, you update the demo with the new step or procedure, and the training stays up to date.

No SOPs? Start with the task everyone asks about.

Your experienced staff already know the process. Capture it while they perform the task, add instructions explaining the important steps, and share the walkthrough with your team.

Start with one recurring question: adding a vehicle, changing its status, or opening a work order. Build your training library one task at a time, and give staff something they can revisit without waiting for an expert.

1

Record the task

Open your fleet software in Chrome or Edge, start recording and do the task the way your team does it. Each screen becomes a step. Windows desktop programs can be captured as steps too.

2

Add the instructions

In the desktop editor, add tooltips that explain why each step matters, not just where to click, plus a start card and a finish screen. Remove any clicks that were just you finding your way.

3

Publish and share

Publish to get a link, or export one HTML file you host yourself. Share the link, or add it to an intranet, SharePoint or LMS page.

One walkthrough, every new hire

Record a task once and share it hundreds or thousands of times. Your experts and managers stop teaching the same screens over and over.

Record once, share with everyone

One link goes to every new hire, location and shift. You hold the license, and the people viewing are never counted.

Practice without touching live records

Staff click through a captured copy of the real screens, so working through a walkthrough never changes a record in your fleet.

Revisit at the moment of need

Forgot how to link an issue to a work order? Open the walkthrough and click through it again, on any shift, without waiting for someone to be free.

Browser and Windows software

Web apps that run in Chrome or Edge, such as Fleetio, telematics portals and fuel card sites, are captured through the extension. Windows desktop programs are captured as steps. Try your own systems during the trial.

Update the steps that change

When your software changes, review the affected steps, update or re-record them in the desktop editor, and republish. The link stays the same. Walkthroughs don’t update on their own.

Supports your SOP

A walkthrough teaches the software actions. Add your own prerequisites, responsibilities, approvals and exceptions around it, in its instructions or on the page that links to it.

Time with experienced staff still matters for judgment and company-specific procedures. Walkthroughs cover the repeatable clicks.

Simple pricing. Unlimited walkthroughs, unlimited viewers.

The plan covers the Windows computers your team uses to create walkthroughs. Staff view them in a browser at no extra cost.

Frequently asked questions

How much does it cost?

Publish is $149 a month or $1,490 a year, for solo creators on one computer. Team is $4,500 a year, for larger teams on up to five computers. Both include unlimited walkthroughs, unlimited HTML exports and unlimited publishing, and the people viewing are never counted. You can request a 7-day trial first.

What does the Team plan include?

Team is designed for enterprises and larger organizations building training across roles, locations or departments. It includes up to five activated computers and one shared account for publishing and storage.

Team customers can also send feature and application compatibility requests for review. Tell us what your team needs and where you’re having trouble capturing your systems. We review every request and consider improvements that fit the product and are practical to build for future updates. Not every request will be added.

Team also includes priority support. When training is critical to your business, issues need to be resolved quickly, so Team customers get a reply within one business day.

What do we need to create walkthroughs?

A Windows 10 or 11 computer with the Demo Maker Pro app, plus the Demo Maker Pro extension for Chrome or Edge to capture web apps. Staff who view a published walkthrough only need a web browser.

Does Demo Maker Pro work with Fleetio?

Yes. Fleetio runs in the browser, so you record it with the Demo Maker Pro extension for Chrome or Edge as you click through the task. The three example walkthroughs on this page were recorded in a Fleetio trial account. Demo Maker Pro is not affiliated with Fleetio.

Can we use it with other fleet software?

Web apps that run in Chrome or Edge can be captured through the extension: fleet management software, telematics dashboards, fuel card portals, parts and inventory systems, and internal tools. Windows desktop programs are captured as steps. The trial is the easiest way to check your own systems.

What happens when our software changes?

Walkthroughs don't update on their own. Open the demo in the desktop editor, review the affected steps, update or re-record them, and republish. The link stays the same, so everyone you already shared it with sees the new version.

Do new hires or drivers need an account?

No. Anyone with the link can click through a published walkthrough without an account, a license or a login. You can also export a walkthrough as one HTML file and host it on your own intranet or LMS.

Does it track which employees completed a walkthrough?

No. Demo Maker Pro doesn't identify viewers or record completion. If you need sign-off, keep using your LMS or your own checklist alongside the walkthrough links.

Does this replace shadowing?

No. Time with an experienced person still matters for judgment and company-specific procedures. The walkthroughs cover the repeatable clicks, so that time goes further.

Can we suggest new features?

Have an idea? Send it to support@demomakerpro.com. We review every request.
