Fleetio: creating a work order for a repair

Walk through opening a work order in Fleetio: pick the vehicle, mark the repair as non-scheduled, record the start date and odometer, choose the shop and the service task, link the driver's flat tire report, then save it.

A work order records repair work on a vehicle: what needs doing, which shop is doing it, and what it costs.

In this walkthrough, “Unit 2100” has a bolt in its back left tire that's causing a slow leak. You'll open a work order for a tire replacement at Elite Tire & Service, link it to the driver's flat tire report and save it.

What this walkthrough covers

  1. Opening Service, then Work Orders, then Add Work Order
  2. Choosing the vehicle, 2100 [2016 Ford F-150], already marked In Shop
  3. Setting the repair priority class to Non-Scheduled
  4. Filling in the actual start date and the start odometer reading
  5. Choosing the vendor, Elite Tire & Service Inc
  6. Adding the Tire Replacement service task as a line item
  7. Linking issue #4, the flat tire the driver reported
  8. Saving Work Order #2 and finding it on the work order list

How to use it

Creating a work order records and organizes repair work: what needs doing, which shop is doing it, when it started and what the odometer read. It becomes part of the vehicle's service history, so a work order with missing fields leaves a gap that shows up later in cost and maintenance reports.

The walkthrough also covers an important step: linking the work order to the issue the driver reported. Saving creates an open work order. Once the shop finishes the job and the work order is completed later, the linked issue is resolved with it, so the flat tire report doesn't stay open after the tire is replaced.

Use it to show new coordinators and technicians how your shop expects a work order to be filled in, before they open one on a real vehicle.

This is one of three example software task guides for a fleet onboarding SOP. The others show adding a vehicle and setting a vehicle to In Shop. Each one uses its own sample vehicle, and a team can pick the tasks each role needs. See how they fit together on Demo Maker Pro for fleet teams.

How it was built

The workflow was recorded in Chrome with Demo Maker Pro while clicking through the real interface at a 1536 x 864 window. Each captured step keeps the page's HTML, CSS and text instead of flattening the screen into an image, so it stays sharp at any size.

The tooltips, the opening card and the finish screen were added afterwards in the desktop editor, then the walkthrough was published to Demo Maker Pro hosting. The same project can be exported as a single HTML file instead.

Frequently asked questions

Does this walkthrough work offline?

The copy on this page is published to Demo Maker Pro hosting, so it needs a network connection. Any walkthrough made with Demo Maker Pro can also be exported as a single self-contained HTML file, which opens locally without an internet connection, from a laptop or a USB drive. A copy hosted on an intranet or LMS needs access to that host.

Do viewers need a Fleetio account?

No. The walkthrough is a captured copy of a Fleetio trial account with sample vehicles and drivers, so anyone can click through it without a login or a subscription.

Can I make a walkthrough like this for my own system?

Yes. If the system runs in Chrome or Edge, Demo Maker Pro records it as you click and turns the flow into an interactive HTML demo you own.
